Copy All Pages to Microsoft Office PowerPoint

Milestones Professional and Milestones Simplicity include a "Copy All Pages to PowerPoint" feature. Milestones will:

Open Microsoft Office PowerPoint and create a new presentation
Create slides for each page of your Milestones schedule
Paste a picture of each page of your schedule into the new slides

Copy and paste into a Word document

These instructions are for pasting a picture of the schedule into Word or any other Windows document, including Excel. The recipient of the document will not be able to edit the schedule.

In Milestones Professional, choose the Connections tab, in the Clipboard section choose Copy Metafile to Clipboard...and click OK.

In Word, choose Edit | Paste

If you have more than one Milestones page, repeat for each page. This repetition is necessary because you are "taking a picture" of each page of the schedule.

Upon pasting, the schedule size will match the Page Layout settings in Milestones. Therefore, if the schedule is larger than the Word document, then the schedule will overflow off of the page. You can click-and-drag the edges and corners to resize the schedule so that it fits on the page.
If you right-click while in Word and choose Paste, then the schedule's size will conform to fit in the allotted area.
For schedules that have numerous pages, consider creating a PDF or using the Internet Publishing feature, in order to quickly generate pictures of each Milestones page.

Embed a Milestones schedule into a Word document

Once you have embedded your schedule into Word, you'll be able to make changes to the embedded Milestones schedule from within Word, without affecting the source schedule.

In Milestones choose the Connections tab, in the Clipboard section choose Copy Schedule to Clipboard (OLE) and click OK.

In Word, choose Edit | Paste Special, and the following dialog box will appear:

Choose to "Paste As" a Milestones Professional Schedule Object, then click OK.

Note: If you use this method of copy/paste in Excel, you will have an additional option to paste as Text. This will give you a text-only spreadsheet of task information in Excel.

Result: When you double-click on the embedded schedule, you will be able to edit the schedule while still in Word. This is called "In-Place Activation."

In order to make sure in-place activation will work, you must first turn off the Sidebar in Milestones, then choose the Tools tab, in the Program Options section choose File/Automation and check on Allow In-Place Activation.

Any changes made to a Milestones Professional schedule embedded in a Word document will not change the original file. If you want to have the change occur in both the Word document and Milestones Professional file, you need to use linking.

Embed a schedule using drag and drop when using the traditional menus toolbar. (Alt+Shift +Y)
Another way of embedding a Milestones Professional schedule into a Word document is to use the "OLE Drag-and-Drop" tool on the Milestones Professional toolbar.

	1.	Size the windows of both Milestones Professional and Word so you can see each program window on your screen.
	2.	Open the schedule you want to embed in your other document.
	3.	Click once on the OLE Drag-and-Drop icon on the Milestones toolbar.
	4.	Move the mouse over to the Word document.
	5.	Click once within the Word document and the current schedule will be placed into the document as an OLE Milestones Professional Schedule Object.

Link a Milestones schedule into a Word document
The linking method differs from the embedding method. Instead of embedding the entire schedule, the Microsoft Word document contains a link to the schedule’s filename and location. If the schedule file (.ML8) is changed, it will be reflected in the linked schedule. Remember, however, that if you move a document containing links to other objects from your computer to another computer, you will need to re-link any linked documents. Embedding is a better choice if you want to keep your document portable.

	1.	In Milestones Professional, the Connections tab, in the Clipboard section choose Copy Schedule to Clipboard (OLE) and click OK.



	2.	In Word, choose Edit \| Paste Special, and the following dialog box appears:



	3.	In the Paste Special dialog box, click Paste Link. (If this option is not available, it is probably because the schedule was not saved prior to being copied to the clipboard.)
	4.	Choose Milestones Professional Schedule Object, then click OK.
	5.	Close the Milestones schedule.
	Result: When you double-click on the linked schedule, the schedule will open in Milestones Professional (or, if allowed, in-place activation will begin). Any changes made to the Milestones schedule will affect both the linked schedule in the Word document, and the original Milestones file.

Should you Paste, Embed, or Link?

Pasting a picture of the schedule:
	This method copies a picture of the schedule only. For presentation documents. Share schedule with someone who does not have Milestones. Neither need nor want the recipient to make changes.
Embedding the schedule:
	Use embedding when you want to include the schedule in another document. The entire schedule, including the schedule’s data is embedded. When you double-click on the embedded schedule, the schedule will open in Milestones Professional. Changes in the schedule will not appear in the embedded schedule. Need to "pack-up" the schedule (embed it in Word), take it to a meeting, and open it from within the Word document. Does require that Milestones is installed on that computer. E-mail a Word document containing the schedule and other information. The recipient needs to open the schedule and make adjustments. Does require that Milestones is installed on that computer.
Linking the schedule:
	Use linking if you want to automatically update the linked schedule in the destination document when the schedule is updated. Linking is the best approach if you need to maintain the schedule separately from the document you are including it in. Remember, however, that if you move a document containing links to other objects from your computer to another computer, you will need to re-link any linked documents. Embedding is a better choice if you want to keep your document portable. Schedule placed in a document that needs to be updated regularly. Document with linked schedule does not need to be removed from current location. If it does move, the link will be broken.
